Job DutiesIn this role you will provide admin support to the Cardiac Arrhythmia Center as well as function as the academic coordinator for the medical student and cardiac electrophysiology fellowship programs. Act as a liaison for faculty to other campus departments, professional organizations, government agencies, outside vendors, and other administrative offices to facilitate communication. Assist with planning for teaching activities for medical students and fellows. Maintain calendars for assigned physicians and schedule various meetings, including coordinating schedules of all attendees, securing venue, sending reminders to all involved and setting up and taking down presentation equipment as necessary. Arrange travel plans/itineraries and process requests for reimbursements and orders for faculty and staff. Assist faculty with any administrative matters required of them to maintain their clinical, teaching and research duties. Organize and maintain files, departmental memos, processed university forms, manuscripts, purchase receipts, funding agency documents, minutes from meetings, faculty curriculum vitae, committee and professional organization information. Write and edit drafts of correspondence, reports, and other documents. Job QualificationsAbility to effectively organize work and set priorities in processing and completing simultaneous projects or request while maintaining accuracy, interpersonal skills, and meeting deadlines.Excellent verbal, written and interpersonal skill to effectively communicate and interact with faculty, staff, and students and public in person, in writing and via telephone. Skill in applying basic accounting and audit principles, and mathematical skills sufficient to monitor expenses, calculate costs and forecast expenditures. Computer skills, particularly with Microsoft Windows, Word, Excel, Outlook, and PowerPoint on IBM PC platform. Ability to draft and write memos and letters, in a concise manner, using correct English, grammar, punctuation, spelling and syntax. Ability to communicate clearly, concise, and using English in order to convey messages, give instructions, and obtain information. Ability to establish and maintain a cooperative, positive working relationship with the staff, faculty, researchers and management and other individuals in the course of business, maintaining a polite and helpful demeanor.
