Job DutiesExecutive Assistant to the Division Chief helps to ensure that daily operations for the Chief's Office run smoothly. Focus of this position will be to maintain complex calendaring. You will keep abreast of all issues falling within the purview of the Administrator, which involves your management and coordination. In this role, you will be often called on to investigate issues and problems, draft and prepare responses to urgent requests, online submission of scientific manuscripts, and juggle multiple issues at once. You will be responsible for organizing ad-hoc and standing meetings on a broad range of issues and may assist in preparing confidential reports for various audiences. In preparation for the days and weeks ahead of meetings you will research, compile, and summarizes issues, policies and topics; provides background information, talking points and briefing materials. Serves as a gatekeeper, understanding the priorities and time-constraints of the Chair and is responsible for scheduling meetings, events, and conversations, which often involve. Job QualificationsExcellent organizational skills and superior attention to detail to organize material and information in a systematic way to optimize efficiency and minimize duplication of effort. Demonstrated consistent reliability in the office: timeliness, speed, efficiency, and responsiveness in performing daily tasks and assigned projects. Ability to read and comprehend documents, forms, articles and correspondence written in Standard English with some understanding of technical terminology as applies to the fields of dermatology and immunology.Demonstrated writing skills to independently compose routine business correspondence and meeting minutes into final form. Skill in managing complex calendars using Microsoft Outlook or similar electronic calendaring system. Ability to prioritize and manage rapidly changing schedules. Demonstrated organizational skills to maintain effectiveness and efficiency of the office with the ability to follow through on numerous and diverse assignments with minimal direction. Skilled in meeting and event coordination, including making facilities, IT, AV, catering arrangements, disseminating material, recording minutes, or preparing summations. Bachelors' Degree strongly preferred. Preferred: Knowledge of UCLA Travel Express, BruinBuy, and UCLA travel as well as reimbursement policies.
