Job DutiesThe incumbent will provide administrative support to the Chair and CAO of the Department of Orthopaedic Surgery. Act as liaison with the Medical Staff Office, other School of Medicine Departments, the Dean's Office, the Chancellor's Office, and the UC General Counsel. Responsible for coordinating all administrative responsibilities for the Chair and CAO which include maintaining calendar, scheduling meetings, preparing agendas, taking minutes, preparing documents and reports for meetings, preparing itineraries and travel arrangements and planning on-site and off-site conferences. Receives and screens all telephone calls for the department's academic telephone line responding independently when possible and referring calls to other resources when appropriate. Review all documents and correspondence received by the Chair. Independently compose his replies including letters, memos and e-mails when indicated. Assist Chair with public relations functions and academic recruitment. Coordinate donor activities when requested by the Chair. Functions as the primary liaison with donors maintaining a professional and cordial relationship with donors and/or potential donors to cultivate support for the Department. Coordination of Chair's patient activities and Committee and Conference Functions (ie, monthly faculty, academic, department executive committee. Special Departmental projects and other duties as assigned. Work is performed independently based upon the incumbent's knowledge of the Chair's responsibilities and priorities. Work is reviewed in terms of accomplishment of objectives. Incumbent interfaces with department's administrative office regularly. Job QualificationsAbility to work independently and skill in organizing work flow to accomplish established objectives. Skill in setting priorities, which accurately reflect relative importance of job priorities. Skill in accomplishing work with changing priorities and frequent interruptions. Working knowledge of University, School of Medicine and Medical Enterprise policies and procedures and demonstrated knowledge of fund development policies, procedures and strategies. Oral and written communication skills to obtain and convey information in a clear and concise manner to individuals at the highest levels within and outside of the University. Ability to write and edit grammatically correct business correspondence. Ability to exercise discretion and maintain confidentiality of sensitive patient and business information. Skill with PC and standard software, including Word, Excel, Outlook and PowerPoint. Business writing and typing skill to prepare correspondence, reports and manuscripts with speed and accuracy. Ability to establish and maintain cooperative working relationships with physicians, residents, students, staff, patients and their families, donors and prospective donors, and with professional demeanor at all times. Skill in analyzing information, problems, practices and procedures to recognize alternatives and provide solutions. Ability to plan and complete projects, delegate work, revise procedures and plan project needs, work in an organized manner and respond to all l request and project deadlines. Ability to work independently and skill in organizing work flow to accomplish established objectives. Skill in setting priorities, which accurately reflect relative importance of job priorities. Skill in accomplishing work with changing priorities and frequent interruptions. Bachelor's degree or equivalent in business administration, health administration, or other related field preferred.
